Manager, Office Experience (NYC)

The Team and the Role:

The People Operations team is comprised of four sub-teams: 1) Facilities and Office Experience, 2) Human Resources, 3) Information Technology, and 4) Talent, Diversity, and Inclusion. As a member of the People Operations team, you will manage the Office Experience sub-team which includes two part-time colleagues: the San Francisco Office Manager and the NY-based Office Experience Assistant. Collectively, the Office Experience sub-team focuses on standardizing processes across three offices, identifying facility projects and resources to enhance physical space, integrating the remote and office-based work experiences, and building office culture through intentional programming and modeled behavior.

In addition to managing the Office Experience sub-team, you will lead:

  • Customer service and staff support: Provide high-touch support to our staff throughout the work day, ensuring that colleagues have material resources and a comfortable environment to do their best work.
  • Event management: Coordinate schedules, logistics, materials and run-of-shows for external and internal events, both on a recurring and one-time-basis.
  • Continuous process improvement:  Create and refine processes and systems with a bent towards automating service and delivery, and maintaining a safe and secure workplace. Most immediate need is to audit and bolster processes and systems around security, emergency protocol and crisis management.
  • Vendor and facility management: Build new and manage existing relationships with vendors and extended building staff. Coordinate appointments, pursue cost-savings, oversee payments and ensure satisfactory service delivery.

As the Manager, Office Experience, you are the organization’s facility point of contact and occasionally will need to work atypical hours like early mornings, evenings or occasional Saturdays to accommodate office repairs or maintenance.

About you:

  • A self-starter who proactively provides exemplary customer service. Candidates should have a track record of proactively collecting, responding to, and acting on feedback to improve their performance.
  • A positive, adaptable problem-solver. We need someone with the determination and creativity to find both temporary and long-term solutions to a range of challenges.
  • A proven doer capable of juggling competing priorities.The Manager, Office Experience serves a variety of stakeholders with competing needs and priorities, and will need to master prioritization, manage expectations, and communicate effectively.
  • An operations and systems minded wizard. We are looking for someone who is logistically savvy! An individual who establishes processes, crafts workflows and simplifies user-experience when possible.

Work environment and physical demands

We operate in a bustling open office environment in which sensory input is a constant. While performing the duties of this job, the Manager, Office Experience is regularly required to talk or hear. The Manager, Office Experience is frequently required to stand; walk; and exercise fine motor skills.This position requires the ability to occasionally lift office products and supplies, up to 25 pounds.

DonorsChoose.org offers a competitive salary and benefits package which includes 100% employer paid health, dental, and vision coverage; a matching 401k plan (up to 5% of base salary); an annual professional development stipend; and five weeks of paid vacation plus national holidays.
